Choosing the right location for a symbolic wedding ceremony is not just a logistical decision, but a deeply creative one that shapes the entire experience of your day. Unlike traditional ceremonies, a symbolic rite gives you the freedom to design every moment according to your vision, your values, and your personal story. The setting becomes more than a backdrop. It becomes part of the narrative itself, influencing the atmosphere, the emotions, and even the way your memories will be captured and remembered over time.
From coastal views to historic villas, from intimate countryside settings to refined architectural spaces, every option offers its own beauty, character, and practical considerations. What truly makes the difference is not only how stunning a venue looks, but how well it supports the rhythm of the day, the comfort of your guests, and the kind of experience you want to create. A beautiful location should not only impress at first sight, but also work harmoniously with every stage of the celebration.
Planning a destination wedding, especially in Italy, requires a careful balance between aesthetics and practicality. Details that may seem secondary at first can have a real impact on timing, mood, and the overall success of the event. This guide explores the wedding day through the lens of location choice, helping you understand what to prioritize, what to avoid overlooking, and how to create a celebration that feels seamless, meaningful, and unforgettable.
Exploring Wedding Location Options: Pros and Cons
Choosing the wedding location for a symbolic ceremony is a crucial step in wedding planning, as it helps create the perfect atmosphere to celebrate your love in a meaningful and memorable way. A symbolic ceremony provides the freedom to customize the wedding ceremony according to your wishes and values, allowing you to select a venue that fully reflectsyour vision and love story.
From picturesque beaches to romantic castles, intimate private villas to breathtaking countryside vistas, there are many options to consider when choosing the ideal wedding location for your symbolic ceremony. In this article, we will explore the key factors to consider when selecting the perfect venue and offer practical tips to ensure your special day is unforgettable in every aspect.
To make the event align with a bride’s vision, all aspects must be carefully considered, with the wedding location being the top priority. The venue should perfectly reflect the idea you have in mind. When planning a destination wedding, many factors are often underestimated but prove to be essential for the success of the event. You’ve always dreamed of this day, and you want it to be exactly as you’ve imagined. This article will guide you through what not to overlook, analyzing every moment of the wedding day—from the preparation to the party.
Symbolic Weddings in a Single Location
For most destination weddings, the event takes place at a dedicated venue. Symbolic ceremonies are far more common in these cases. While they hold no legal value, they offer greater flexibility, allowing couples to get creative with the event.
Popular symbolic rituals include the sand ceremony, the unity candle ceremony, or the more modern “warm ring” ritual. In some cases, the ceremony at the venue can also include a civil ceremony.
However, this depends on the location and whether a municipal official is willing and able to travel to the venue to make the marriage legally binding. Naturally, the presence of such an official may affect costs. Not all municipalities allow the transfer of documents and an officiant withoutcompensation. However, some venues have a municipal office on-site,meaning that if the marriage is performed there, it will be legally valid.
Symbolic ceremonies remain an advantageous solution since they eliminate the hassle of bureaucratic procedures. The couple can formalize their marriage in their home country and celebrate the symbolic ceremony elsewhere.
Getting Ready
Let’s start with the preparation phase. When the ceremony takes place atthe same location as your accommodation, you can be much more relaxed while getting ready. There’s no need to worry about transportation or arranging a ride to the venue. You can wake up peacefully, focus on enjoying the day, and let yourself be photographed and filmed naturally, free of stress, surrounded by the people you love—who have likely stayed in the same venue.
The only thing that might catch you off guard is the emotion of the moment, but that’s a strength when it comes to photos and videos. We particularly love capturing this part of the day. These are delightful moments, whether you’re chatting with your bridesmaids or groomsmen, unwrapping a gift your partner sent to your room, or slipping into your wedding attire, just moments away from saying “I do.”
If you’ve chosen a venue that can accommodate all your guests, you’vehit the jackpot. This eliminates the need for additional expenses, such astransportation to and from the venue. Did you consider that transport costs can significantly impact your wedding budget? When a wedding is hosted entirely at one location, we notice thateveryone is more relaxed and able to fully enjoy the day. Guests can leisurely make their way to the area where the ceremony will take place.
If you’ve arranged a refreshment station, they can sip on a drink while waiting. Everything is conveniently located with in different areas of the same venue, making it perfect for everyone. Zero stress means happy couples, and happy couples mean flawless photos and videos.
The Ceremony
All eyes are on you. Guests eagerly anticipate the bride’s entrance, walking down the aisle. The groom stands there, with misty eyes, trying tohold back tears. We are there with our cameras, ready to capture it all.
While the bride’semotions are expected, what truly stands out is the groom’s reaction to seeing his bride, unless they’ve already shared that special moment during a First Look.Unlike other types of ceremonies, a symbolic ceremony allows you to customize every aspect entirely. You can choose the music to accompany each moment, personalize your vows, invite your guests to share heartfelt words, and select the type of ritual that resonates most with you—such as the sand ceremony, the unity candle, or the warm ring ritual, among many others.
So far, we’ve highlighted the many positives of holding your ceremony atthe venue. However, we also want to address aspects that are often underestimated. We believe it’s more helpful to discuss potential challenges than to solelyfocus on the advantages of a symbolic ceremony. Our goal is to help you prepare for and navigate anything that might arise on your wedding day.
Temperature
When photographing outdoor symbolic ceremonies, especially in the summer, temperature is often underestimated. Before the bride arrives, guests typically take their seats and wait for thecouple. The blazing summer sun and resulting heat often cause guests toscatter in search of shade, whether the ceremony is held in the morning orafternoon.
The downside? You could end up with many empty seats during theceremony. Photographing rows of unoccupied chairs creates an unpleasant effect, especially if your guests are clustered under a tree, seeking relief from theheat and disengaged from the event.Solutions?•Consider providing a canopy or organizing the ceremony in a shadedarea.
• Schedule the ceremony for a time when the sun’s intensity is less harsh.
• Offer parasols to shield guests from the sun. From our perspective, photographing a symbolic ceremony in directsunlight can pose challenges.
For instance:
• For video equipment: Overheating can cause cameras to shut down, interrupting the recording.
• For the couple: Bright sunlight may cause you to squint or appear withless photogenic expressions.
Additionally, if your ceremony includes numerous speeches, prolongedexposure to the sun can lead to distracted and uncomfortable guests.
Audio
Outdoor symbolic ceremonies often involve multiple people speaking into a microphone: the officiant, the couple exchanging vows, guest speakers, and possibly a band playing music.
Key considerations for audio:
Ensure proper sound amplification so guests seated at the back can clearly hear the speeches.
Avoid placing speakers too close to the couple’s seating area.
Disadvantages of poorly positioned speakers:
Aesthetics: Visible wires leading to speakers near the ceremony area can disrupt the visual harmony of your setup. Even with a perfect arrangement by your wedding planner, misplaced speakers can ruin the atmosphere.
Acoustics: Improper placement can create echoes, leading to suboptimal sound quality—this can severely impact the audio in your wedding video, if included in your package.
Solution? Request that the speakers be positioned discreetly to preserve the natural environment while ensuring clear audio for those seated at the back. Guests near the couple will hear without amplification, but those further away need properly placed sound systems to stay engaged in the ceremony.
The Aperitif
If you’ve managed to avoid the problem of scorching sun during the ceremony, your guests won’t rush to the aperitif like they’re thirsty travelers in the desert.
The aperitif is a highly anticipated moment—it’s when you greet your guests, exchange a few words, receive congratulations, and smile a lot.
Let’s take a look at the potential advantages and disadvantages.
A sparse aperitif will shorten the time between the ceremony and the lunch/dinner, meaning you’ll have less time for the couple photoshoot.
However, if this is your preference, we can work around it by scheduling the couple photoshoot on a different day, adding a post-wedding package. This way, you can fully focus on your guests and the party, and dedicate a separate day to the photoshoot.
A more lavish aperitif can keep your guests entertained while you’re off with us for your couple photoshoot.
We can assure you that people love to drink and eat, and if there’s live music, they won’t even notice your absence.
If you opt for a rich aperitif, you can also plan for a shorter lunch or dinner.
What does this mean in terms of benefits?
Your guests won’t spend too much time sitting at the table, they won’t get bored, and you’ll have much more time to enjoy the party. Also, don’t overlook the fact that a dinner with just a first and second course is generally less expensive than one with starters, two first courses, and a second.
Couple Photoshoot
The ceremony is over, you’ve sipped on some fresh prosecco with friends, and made a toast.
If the photographer has been good at blending in with the guests, you might forget about them. But as the light reaches its peak, you’ll hear a voice calling you.
Yes, we’re still with you and can’t wait to photograph you. We absolutely love the couple photoshoot moment. It’s the time when you get to take a moment for yourselves, share all the emotions you’ve felt from the morning until the ceremony, while we capture beautiful photos of the two of you.
The advantage of doing the photos within the same location is clear—you won’t need to move anywhere else. Instead, you can choose a picturesque spot within the venue, perhaps one that benefits from the warm light of the sunset.
This is why having the photographer arrive the day before the event gives them the chance to explore the surroundings and suggest the best spot for the couple photoshoot.
What could be a downside?
Time—if the ceremony and aperitif take longer than expected, the light may start fading rapidly, and you won’t be able to take full advantage of the beautiful Italian scenery.
But there’s always a solution! Take some time the day after the wedding and ask the photographer to add this session to your wedding package.
Another potential issue could be bad weather, making outdoor photos impossible.
That’s why having a solid Plan B is crucial.
Choose a venue that offers both sunny and rainy options. Weather is unpredictable, but a good backup plan isn’t.
Lunch or Dinner
Here you are, seated at the table with your guests. Everything is going smoothly. Background music accompanies toasts, and someone dedicates a heartfelt speech to you.
We are there, ready to capture every moment of joy and togetherness.
But what could be the downside of a lunch or dinner?
A long meal that keeps guests at the table for over three hours is certainly one of the drawbacks.
Over the years, we’ve noticed that people love to eat, but they also want to avoid getting bored at the table. That’s why we recommend a quick lunch or dinner, so you can fully enjoy the party during the open bar.
Be mindful of venues with time restrictions. Especially when the party is in the evening, ask how long you can keep the music loud during the party. If you’ve planned a long dinner and have time limits, you might end up with just a few hours of dancing and fun.
From experience, the wedding day seems to fly by. It’s something we often hear. That’s why we suggest asking the venue about the flexibility of space and time usage.
The Party
This is the part where all the rules go out the window. Pure fun.
If you want to have an amazing party, you need to plan for a great DJ set or a band that knows how to keep your guests entertained.
Entertainment is crucial at a wedding.
As mentioned earlier, to truly enjoy the party, you should choose a venue that doesn’t limit your hours or offers the option to add extra hours if you want the celebration to continue. At the very least, make sure there’s an indoor area where the party can continue and is well-ventilated.
Also, consider an open bar. A drink shared among friends is the perfect way to keep the celebration going.
To capture great photos and create a captivating video, especially if the wedding is in the evening, ask the DJ or band to provide lighting to set the right atmosphere.
A band or DJ with poor sound amplification can hurt the party’s vibe, just like not setting the right mood with lighting.
If you’ve planned a lunch instead, you might not need extra lighting, but good sound amplification is a must.
Another aspect not to overlook is the party in case of rain.
We will still take amazing photos even in the rain, and we’re sure they’ll turn out fantastic, but we’re not sure if your guests are as brave as we are! 🙂
Before booking your venue, ask if they have a good backup plan for the party. In the summer heat, a small indoor space might be a disadvantage because it could get uncomfortably hot.
